The Mail Clerk is responsible for the efficient and accurate handling of incoming and outgoing mail at Stillman College. This position supports the daily operations of the mailroom by sorting, processing, and distributing mail and packages. The Mail Clerk will also maintain records, monitor equipment, and ensure compliance with postal regulations. The ideal candidate is reliable, detail-oriented, and capable of working both independently and as part of a team.

Job Responsibilities

Key Responsibilities:

  • Sort and distribute incoming and outgoing mail using approved methods and distribution schemes.
  • Operate and monitor mail processing equipment; load mail, clear jams, and generate required documentation and reports.
  • Prepare workstations with necessary tools, including trays, labels, bins, and containers to facilitate smooth mail operations.
  • Accurately place sorted mail in designated areas or containers for further processing or delivery.
  • Verify the accuracy of sorted mail and ensure compliance with institutional and postal policies.
  • Maintain detailed records of mail received, dispatched, and processed.
  • Manage and reconcile balances in advance deposit accounts related to mail services.
  • Record and process mail requiring special handling or additional services, including billing documentation.
  • Provide courteous customer service at the mailroom window, assisting with inquiries and facilitating non-financial transactions.
  • Stay informed about current postal regulations, procedures, and policy changes relevant to mail handling.
  • Identify and resolve routine mailroom issues independently and escalate complex problems to a supervisor when necessary.

Required Skills and Qualifications:

  • High school diploma or GED required.
  • Prior experience in mailroom operations or clerical support is preferred.
  • Familiarity with mail sorting equipment and postal regulations is a plus.
  • Strong attention to detail and accuracy in sorting and record-keeping.
  • Ability to operate mailroom machinery and handle minor troubleshooting.
  • Basic knowledge of Microsoft Office (Word, Excel, Outlook) for maintaining records and communications.
  • Good organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent interpersonal and communication skills for working with staff, students, and external contacts.
  • Physical ability to lift and move mail containers and stand for extended periods.

Work Schedule (a full-time, 12-month in-person position)

Monday - Friday, 8:30 am to 5:00 pm (possible variations, such as occasional evening or weekend work depending on the organizational events)

This position is paid on a biweekly basis at an hourly rate of $12.00.
